Chiqúe Présidentiel (Presidential) Package


(6 – 9 months prior to the Conference/Meeting)

This package is for the company that needs a professional Event Planner to plan, manage, and finalize the details leading up to the conference/meeting. It can be tailored to include the following services:

Prior to the Event

  • Free initial consultation to understand the vision for the event, gather information, and respond to questions/concerns (up to two hours)
  • Six “face-to-face” planning sessions with the designated corporate contact
  • Unlimited email/telephone discussions
  • Locate venue and meeting break-out space as needed
  • Conduct venue inspections and make recommendations based on the corporate agenda
  • Guest/ management
  • Lodging management
  • Registration management
  • Arrange for supplies (flip charts, markers, etc.) with the venue
  • Arrange for guest speakers and confirm attendance
  • Oversee and coordinate security for special guests as necessary
  • Updates the agenda as directed by the corporate contact and monitors agenda conflicts
  • Budget management (track invoices and contract amounts, maintains a summary of event costs, event times, attendance numbers, equipment needs, food and beverage, and other related details). Also will provide monthly budget updates.
  • Arrange for food and beverage for breaks or working lunches as needed
  • Arrange for audio/visual needs as communicated by the corporate contact
  • Vendor management (oversee vendor contract requirements for vendors secured outside of the venue)
  • Provide instructions for transportation to and from the venue
  • Oversee special accommodations (guests/participants with disabilities)
  • Provide initial and final payments to vendors if needed
  • Send announcements/reminders to guests/participants
  • Collect post meeting/conference questionnaires/surveys and provide to designated corporate contact

Day of the Event

  • Direct guest/participants to the conference/meeting space
  • Oversee registration (guest/participant check-in, distribute name badges)
  • Distribute conference/meeting materials
  • Place tent cards (if necessary)
  • Serve as corporate liaison with venue to ensure that contract requirements are met

Chiqúe Ambassadeur (Ambassador) Package


(3 months prior to the conference/meeting)

This package is for the company that has planned most of the conference/meeting details and needs a professional Event Planner to manage and finalize the details leading up to the conference/meeting. It can be tailored to include the following services:

Prior to the Event

  • Free initial consultation to understand the vision for the event, gather information, and respond to questions/concerns (up to two hours)
  • Three “face-to-face” planning sessions with the designated corporate contact
